Shine Marketing is a rapidly expanding web agency specialising in eCommerce, based in Hampton Wick close to Kingston Bridge.

As part of our continued expansion, and due to the promotion of the current Office Manager, we need a dedicated member of staff to run the office and to provide assistance to the Managing Director and Commercial Director.

This role will suit someone who is highly organised and loves the variety that is offered. This is a highly autonomous role and will suit someone with initiative and drive.

Administration and PA duties

The candidate will be responsible for

  • Any phone enquiries from marketing sources and the website. This will involve answering the phone and transferring when appropriate, or answering calls from diverted calls, if directors are absent from the office.
  • Diary management for directors, especially the Commercial Director who is frequently out of the office
  • All incoming post
  • All matters pertaining to the running of the office and there will be a budget for this purpose( stationary orders, furniture, software, phone lines etc)
  • Helping to find new office premises for a planned move May 2009
  • The day to day finances such as invoicing, expenses, credit control, and liaison with the accountant and book-keeper.
  • The management of letters of engagement, contracts and order forms for new clients.
  • Help the business development team with preparation for pitches
  • Organisation of events and exhibition/speaking slots
  • Management of some marketing events  and activities
  • Travel arrangements for staff
  • In busy periods, some assistance in non-work matters for the directors may be required

Personal requirements & experience

  • The ideal candidate must have 3+ years experience in a busy office environment administration, to including some PA experience
  • A professional and mature attitude is essential, as they will be a key member of the organisation as it grows
  • A personable and polite telephone manner is a prerequisite
  • Advanced knowledge of Word, PowerPoint and Excel is essential
  • Knowledge of Sage is preferable
  • A highly organised personality, is a must for this role
  • Excellent business writing ability
  • A problem solver

 Working hours

  • Monday - Friday 5 days a week
  • 9am-5.30pm with 1 hour lunch

Salary

£18,000- £23,000 dependent on experience

 

 

 

Holiday entitlement

23 days paid holiday.
